[Minutes for 2014-03-20] Very long meeting. First time writing minutes. How did I do? # Welcome Denial edition # Venue: Engineering Pavilion, 215.100 # Start: 2014-03-20T10:49Z # Attendance * Callum * Jasmine * Delan * Kieran * Kye * Millie * Denial * Scott # Apologies (none) # Absences * Jimmy (second consecutive unexplained absence) # Old minutes * No issues * We should regularly follow up on previous minutes to check action items # Treasury report * Duration: 2 weeks * Revenue: $810 * Pool was $370, which is more than typical drinks and pool in 314.238 * Deposit: $570 * Discrepancy: -$2.25 # Post events * SGM * Callum apologises for being late * Unfortunately we didn't get to ratify changes to the constitution * Ice skating * We had 26 attendees, and it was great * Games night * Games night was probably the cause of the complaint from Nicoletta * Nicoletta is the head of the Engineering Pavilion * We should ensure that future games nights are run in level 3 rooms * This will require booking beforehand # Upcoming events * Movie night * Will be held on Wednesday, 26th March * Attending: Kye, Callum * Maybe: Scott, Kieran * Movies to prepare: "Gone in Sixty Seconds", "Con Air" * Rock climbing * Consider holding it earlier than week 11 (as listed on the booklet) * Wait and see if we want to have another event so soon * New event: Bounce * Kye: it's unviable; discounts are too small and times are restrictive * Minimum $12.50/hour which is probably too expensive * We would want two hour sessions at a minimum * New event: Scitech * After Dark is a week before the LAN on April 5th * Currently $17 per attendee without group discount and $12 with discount * Minimum four attendees for group discount * Millie: we should be fine * After Dark would be an 18+ event * Kye will call Scitech to arrange the event * Will ask about any maximum attendance limits that exist * Millie suggests pricing the event at $5/$10 for members/non-members * Laser tag * Previous venue has closed, we need to find a new one * Southlands in Willetton? # Complaints against ComSSA * Amanda * Hard floor area on level 1 is the only place where eating is allowed * Amanda claims that ComSSA members are excessively occupying the area * This deprives other students from having a space to eat * We should meet to clarify that the situation isn't as bad as claimed * If any members in the ComSSA region are found playing games, especially obvious ones like Magic, please tell them to leave the eating area * Mike * Callum received an email saying that "ComSSA members have been disrupting OOPD 110 tutorials" * This appears to be a misunderstanding between Mike and the tutors * However please try to avoid disturbing the tutors too much # Club merchandise * Committee shirts * Now that the committee has been somewhat finalised, we can purchase shirts for 2013 committee members * Two separate orders: one for 2013, one for 2014 after first SGM * Agreed in a previous meeting that inactive committee members from 2013 will not receive shirts at the current committee's discretion * Curtin Concept: shirts will be $40-$50 and require a Curtin Student Guild logo on a sleeve * Black/white will definitely be available, colours are optional # Sponsors * Scott: Tokyo Underground, Quality Comics and Tactics * All three have confirmed that their sponsorships will continue this year * Netplus: new sponsorship? * Jasmine has delegated the Netplus sponsorship request to Delan * Jasmine will assist Delan with the process where necessary # Card art competition * We have had no entries, and we need submissions * Talk to people with artistic skills and/or equipment * Callum will advertise this on the Facebook group to open it to members # Open floor ## ComSSA stickers * We have $200/$300 left in the printing grant * Jasmine will ask Guild how much stickers will cost * There is a $6 setup fee for each printing job ## Email * Callum: all future incoming mail to be sent to club@comssa.org.au * Currently forwarded to comssa@lists.curtin.edu.au * Improves flexibility in the event of lists.curtin going down again * All future accounts to be created with the club@comssa email address * Except for anything to do with the comssa.org.au domain itself ## Pool table * We should buy a set of four decent cues * Keep two outside, and two spare in the office * Denial has been delegated the job of finding appropriate cues * Kieran: the budget should be around $25 ± $5 per cue * Millie suggests refelting the pool table annually * Callum: do this near the end of each year * Kye: consider stenciling the ComSSA logo on the felt when this occurs * Millie: that's tacky * Callum: we should obtain a quote * Callum: we don't urgently need to replace the bumpers * Their irregularity provides character ## DreamSpark Premium * Microsoft provides a tool that accepts a key and returns the correct ISO * The office computer has an ISO for Windows 8.1 * We can charge students to burn discs for them * For example, $1 per disc * Mainly to cover costs and discourage use of optical media * This will need to be tracked for treasury, however * Ensure that students are currently doing a computing unit or EP100 ## Online signups * Kye: it's not fair to students to solicit signups in a venue that is: * Not dedicated to ComSSA: difficult to identify committee members * Locked during the day: requires occupants to open it from the inside * We should consider offering online signups at $10 plus processing * Credit card processing fees are $0.55 + 2.9% * Ensure that Guild numbers are maintained ## Signatories * Signatories need to be changed * From: Callum Boyd, Tom Dowling, Kieran Gee * To: Callum Boyd, Jasmine Quek, Kieran Gee * Contact BankWest to determine how to change a single signatory ## Spending policy * Kieran needs to draft the spending policy for 2014 * All committee members need to sign this as soon as it is completed ## Mailing list * Callum will add Denial and remove Tom ## CoderDojo * We need to speak to members to promote this and seek mentors ## Change to meeting day * Denial: I can only make Friday nights * Monday 10am-1pm seems to be the only viable option * This needs to be further discussed before any changes are made ## Engineering pavilion * Amanda has thanked Jasmine for cleaning the kitchen * Denial has had to clean the pavilion last night * Please tell members to keep the area clean at all times # Next meeting: Thursday 2014-04-03 # Finish: 2014-03-20T12:18Z
